Description of Duties:
Accounts Payable: Manage disbursement of general fund state appropriations and receipts for the agency through automated accounts payable system. The accounts payable automated system is an integral part of the NC Financial System (NCFS). Individual must be knowledgeable of interface of other NCFS components with Accounts Payable (i.e. Purchasing, General Ledger). All Accounts Payable transactions are subject to audit by the State Auditor’s Office. Primary responsibilities include:
- Review incoming invoices for accuracy, terms of vendor, and relevant Purchase Order/Requisition information. Follow-up and resolve price discrepancies with the purchasing or requesting department.
- Acquire verification of receipt for item(s) or service(s). This verification may be a packing slip, small purchase authorization (SPA), or authorizing signature from requesting individual. Research invoice(s) without documentation to determine requester and/or destination.
- Verify payment has not already been processed and process invoices for payment via automated Accounts Payable system. Processing entails verification and/or requests for setup of vendor in centralized vendor file maintained by the Office of State Controller (OSC), preparation of accounting code sheet, attachment of necessary back up documentation, verification of available funds, data entry, and printing checks.
- Disburse payment for invoices. Position is currently disbursing approximately 330 checks per month. Follow-up on pending Purchase Orders not processed for payment. Notify the Purchasing Office of completed purchase requisition orders. Reconcile vendor statements to ensure that outstanding invoices are paid or in the process of being paid in a timely manner. Maintains master vendor files.
- Process Escheats on an annual basis according to the state escheat policy.
- Review 1099 forms before being processed by the Office of State Controller.
Travel: Review budget authorizations for accuracy and submit for approval. Verify and process all travel reimbursements and travel advance requests. In addition, process all travel reimbursement for the Board of Trustee members.
Account Analysis: Perform account analysis of any Accounts Payable transactions, the largest component of the General Ledger. Research information, compile data and prepare financial reports and written responses to resolve concerns of intra-agency administrators, faculty and staff with budget reports. Also perform account analysis necessary to facilitate Accounting Manager with budget/allotment functions. Interact professionally daily with outside vendors, departmental staff, students, and resolve problems and concerns, distribute financial reports, submit deposits, and maintain a high level of resourcefulness.
Student Constituent Support Services Incorporated (SCSSI) bank reconciliations: Complete bank reconciliations monthly for SCSSI identifying and resolving any errors with the SCSSI coordinator. Process invoices for Student Activities that correlate with all receipt supported activities at NCSSM.
Auditing: Perform internal auditing functions under the general supervision of the Accounting Manager. Tasks include, but not limited to, randomly selecting invoices, checks, and journal vouchers to audit, verifying sequentially that journal voucher and code sheets exist and are filed properly, reviewing documents for proper signatures and documentation, etc.
Other Responsibilities: Print checks for the weekly check run, post journal entries, requisition funds for check run and other duties as assigned. Update Business Office forms annually, Prepare independent contracts for services, file invoices from weekly check run, and other duties as assigned.
Knowledge, Skills, and Abilities:
Knowledge – Technical: Considerable knowledge of government accounting methods, procedures, and accounting practices needed to perform the work. Basic knowledge of program laws and regulations needed to perform the work. Knowledge of a variety of technology, financial systems. and software packages to create and maintain data. Ability to develop formulas for moderately complex spreadsheets.
Financial Program Monitoring and Management: Ability to verify and ensure accuracy and validity of moderately complex transactions. Ability to examine accounting records to assure adherence to accounting standards and regulations. (Examples: variety of funding sources with different reporting cycles and standards; re-investment of funds and accountability for the more complex funding sources.) Description of Duties:
Budget Management and Execution: Requires an understanding of budget procedures, state and federal regulations, and operational policies to assist the Accounting Manager and/or Associate Vice Chancellor of Finance in reviewing and amending the NCSSM department budgets.
- Interpret fiscal and general managerial policies, planning, organizing, and performing budget analytics. Conveying budget information and maintaining good working relationships with peers and departmental facilitators, as well as external partners.
- On a day-to-day basis, work with departments on routine budget requests and questions. With a clear understanding of budget objectives, expected results, and timetables, procedures such as journal entries, cash receipts, cash transfers, and budget revisions are performed and reviewed carefully for completeness and accuracy before submitting for approval from the Accounting Manager and/or Associate Vice Chancellor for Finance.
- Assist with year end close out. This requires reviewing guidance from the Office of the State Controller (OSC) on carryforward and other close out procedures and implementing them within the given timeframes.
- Analyze budget reports, draft over budget notices, fund reconciliation notifications, and ad-hoc reports for internal customers. Occasionally responsible for preparing analyses and responses to requests for information from external customers including, but not limited to, the UNC System Office and the Office of State Budget and Management.
Position Review and Approval: Requires an understanding of the organization’s budget as well as the state and federal guidelines for using funds to create or adjust positions budgets.
- Maintain the salary control for the organization in Integrated Budget Information System (IBIS) making sure that it matches what HR and the business office are reporting out to departments (BO149).
- Review positions for budget availability and work with management and Office of State Budget Management (OSBM) to determine the best course of action to adjust the budgeted salary.

The North Carolina School of Science and Mathematics (NCSSM) invites applications for one full-time Instructor of Spanish position at its campus in Durham, North Carolina. This position is time-limited to two (2) years with the possibility of subsequent renewal if there is evidence for enrollment-based need. The position is a 10-month appointment with full benefits through the State of North Carolina. The position reports to a Chair of Humanities, NCSSM-Durham, and is responsible for providing instruction in Spanish.

Founded in 1980, the North Carolina School of Science and Mathematics is a state-supported residential and online high school for students who have demonstrated exceptional talent or interest in science, mathematics, engineering, and technology. Since the school’s inception, the humanities and fine arts have been an integral part of an NCSSM education and have played a key role in helping the institution fulfill its mission to cultivate a new generation of informed, empathetic, engaged, and ethical citizens and leaders.
The NCSSM Humanities Department offers courses in several World Languages, American Studies, and a broad range of English and interdisciplinary Humanities courses. Offerings in our Fine Arts program include studio and performance courses in the visual arts, music, and drama. Our program also includes student- and faculty-led seminars and independent studies.
Description of Duties:
The expected teaching assignment for the position is three in-person, residential course sections in Spanish per semester and two short courses during our school’s January-Term. The semester-long courses will include primarily beginning and intermediate levels of Spanish language and culture courses, but may also include courses for advanced or Heritage-level learners.
A successful candidate will be able to teach a range of courses in Spanish, from introductory through advanced levels of the language, and possess a particular interest in teaching beginner and intermediate-level courses. They will be knowledgeable about communicative approaches to Spanish instruction and will be able to develop proficiency-based curricula that provide entry points for students of various proficiencies, including heritage speakers.
Humanities faculty are responsible for developing and teaching innovative and engaging humanities curricula with a focus on interdisciplinary studies in NCSSM’s residential and highly interactive online programs. Faculty should plan on playing an enthusiastic role with colleagues across all campuses of the school in ongoing conversations and collaborations about ideas, goals, pedagogical methods, and authentic assessments in NCSSM’s teaching and learning environment.
Responsibilities include:
- Develop and communicate to students clear course objectives and goals;
- Plan and develop an instructional program that helps students assimilate specific course content and skills;

Description of Division
The Division of Student Life provides programs, services, and support for NCSSM. Areas in Student Life are: Counseling Services, Student Services, Campus Safety and Security, Residence Education, Housing, Dining, Physical Activity and Wellness, Student Health Services, Student Conduct, and the School Store. The Division of Student Life provides support for all non-academic needs of the 680 students in the Durham residential program (ex: housing, dining, counseling, medical). The division accepts the responsibility of “in loco parentis” for the students and serves as the caretaker/guardian for students while they reside on our campus. The division partners with other departments and divisions on campus as well as families to provide a balanced and holistic experience for NCSSM Students.
The mission of the NCSSM Physical Activity and Wellness Department is to provide a variety of activities that will reach all students and influence lifetime decisions and create a healthy lifestyle via our courses, programs, activities, and athletic programs.
NCSSM offers an interscholastic athletic program in the following sports for both men and women: soccer, basketball, tennis, cross-country, swimming and diving, track and field, cheerleading, and golf; baseball and wrestling for men; softball and volleyball for women.

Description of Duties:
This temporary position resides within the Division of Student Life and provides driving assistance for NCSSM students and programs. Responsibilities include being able to drive vehicles from a 10-passenger van to a 44-passenger bus safely to transport NCSSM students to various activities and events (ex: athletic practices and competitions, personal appointments). In particular, NCSSM Varsity Sports teams which may require some evening and weekend responsibilities.
This temporary position must comply with practices and standards laid out in the NCSSM vehicle regulation.
Knowledge, Skills, and Abilities:
This position requires general knowledge of vehicles (ex: how to check oil, change a tire, put air in a tire).
Minimum Training and Experience Requirements:
Must have a valid CDL, Class B with passenger and school bus endorsement. Must be in good standing with the department of Motor Vehicles. Must be able to perform pre and post trip inspections.
